THE COST OF FINDING OUT TOO LATE

An expired record can hide a much larger exposure.

An expired COI does not automatically mean the underlying policy has lapsed. It does mean your team should verify coverage before work continues.

$41,757

Average workers' compensation claim

The National Safety Council reports this average total claim cost, including medical and indemnity costs.

Up to $2,000

For every 10 days without coverage

New York can assess this amount when legally required workers' compensation coverage is not secured. State rules and penalties vary.

New York WCB source
Direct liability

Can move upstream

New York states that general contractors can be liable for claims involving uninsured subcontractors, and premiums may be assessed when proof is missing.

New York WCB source
ONE MISSED LAPSEcan cost far more than a year of organized tracking.

The $41,757 average claim is about 27 times the planned annual cost of COIRoster Professional at monthly pricing. COIRoster cannot prevent accidents, guarantee coverage, or replace legal and insurance advice. It helps your team detect document gaps earlier and preserve the follow-up record.

COMMON QUESTIONS

What teams ask before leaving the spreadsheet.

What is COI tracking software?

COI tracking software helps teams collect contractor certificates of insurance, monitor expiration dates, compare documents with project requirements, request updated evidence, and record compliance decisions.

Who is COIRoster built for?

COIRoster is designed for general contractors, construction operations teams, property managers, and compliance teams that collect and review contractor certificates of insurance.

Do contractors need an account?

No. Contractors can use a secure upload link to submit an updated COI without creating a COIRoster account.

Does COIRoster make the final compliance decision?

No. OCR-assisted extraction and rule checks help reviewers find relevant information, but a qualified person remains responsible for the final compliance decision.

When are contractors reminded about an expiring COI?

COIRoster automatically emails the contractor at 90, 30, and 7 days before the recorded expiration date, then again after expiration. Each milestone is logged and duplicate reminders are prevented.

Does an expired COI prove that insurance coverage ended?

No. A certificate is evidence of coverage, not the policy itself. An expired certificate should trigger verification and a request for current evidence. Actual coverage, liability, and penalties depend on the policy, contract, jurisdiction, and facts.

Is the application available today?

COIRoster is preparing a limited early-access pilot. Join the list below to discuss your workflow and request a product demonstration.

Can each project have different insurance requirements?

Yes. Requirements and contractor assignments can be managed at the project level, including coverage, limits, additional insured, and waiver conditions.
